This is a rare opportunity to join a thriving small business in Bath within a pivotal role. It really is a brilliant opportunity for someone with a solid background in office management, PA or FA positions.

The PA/FA plays an important and varied role within the office, overseeing the billing and credit control process, providing PA support to the Managing Director and supporting the team generally with smooth running of the office.

Responsibilities include (but are not limited to):

Finance Assistant:

- Sales ledger: producing quarterly invoice runs using Propman software

- dealing with queries about payments

- management of debtors list and regular reporting to MD

- recovering unpaid money from clients

- Purchase ledger: authorisation of stationery, communications, IT invoices

Managing Director Support:

- maintain accurate document management and filing

- audio typing

- diary management

- preparing AGM reports and contracts

- liaise with outsourced suppliers

General Office and Team Support:

- first point of contact providing telephone reception

- greeting visitors, contractors and suppliers

- receiving and distributing post/deliveries

- preparing meeting agendas, taking and distributing accurate minutes

- marketing: keeping website up to date to add latest press releases, twitter campaigns, other online marketing, liaising with PR team

- Adhoc tasks to assist with smooth running of the office or required by the MD

The ideal candidate will:

- have previous experience in credit control or bookkeeping

- have previous office manager, customer service or PA experience

- be an experienced multi tasker

- be highly organised and methodical, with a keen eye for detail

- have an assertive but tactful manner

- be calm under pressure

- be able to work to strict deadlines

- be flexible in support of team as required i.e. holiday cover, busy periods etc.

- have a confident and polite telephone manner with accurate message taking

- have essential PC skills to include Outlook, Word (templates), Excel (formulas) and internet systems

- have fast and accurate typing skills and a good standard of written English

- take responsibility for their role in the overall business performance

- understand the need for team support and to take a proactive approach
